This Privacy Policy ("Policy") explains how Tills at Vienna ("Tills at Vienna", "Company", "we", "our", or "us") collects, uses, processes, stores, discloses, and protects information obtained through the Tills at Vienna platform, including its websites, mobile applications, point-of-sale systems, e-commerce tools, analytics systems, APIs, dashboards, and related services (collectively, the "Platform").
This Policy should be read together with the Tills at Vienna Terms of Service, Service Level Agreement (SLA), Acceptable Use Policy, and any other applicable agreements governing use of the Platform.
By accessing or using the Platform, you acknowledge that you have read and understood this Privacy Policy.
1. Introduction
Tills at Vienna is a cloud-based sales, distribution, inventory management, point-of-sale, reporting, field operations, and commerce enablement platform designed to help businesses manage operational activities across physical and digital sales channels.
In the course of providing the Platform, Tills at Vienna may collect, process, store, analyze, transmit, or otherwise handle personal information, operational data, transactional data, geolocation information, device data, and business-related information.
Tills at Vienna is committed to implementing commercially reasonable privacy and data protection practices in accordance with applicable laws, including the Data Protection Act, 2012 (Act 843) of the Republic of Ghana.
2. Scope of This Policy
This Policy applies to:
- Customers using the Platform;
- merchants and businesses onboarded onto the Platform;
- Authorized Users;
- Field Personnel;
- website visitors;
- end-users interacting with merchant storefronts hosted through the Platform; and
- individuals whose information is processed through the Platform.
This Policy applies to information collected through:
- mobile applications;
- web dashboards;
- APIs;
- e-commerce storefronts;
- POS systems;
- customer support channels;
- integrations;
- communications; and
- other interactions with the Platform.

Where payment-related functionality exists, Tills at Vienna may collect or process:

Tills at Vienna does not store complete payment card information unless expressly stated otherwise.

5. How We Use Information
Tills at Vienna may use information collected through the Platform to:
- provide and maintain Platform services;
- authenticate users;
- process transactions;
- facilitate operational reporting;
- manage subscriptions;
- provide customer support;
- monitor security and fraud risks;
- improve Platform functionality;
- generate analytics and insights;
- administer Accounts;
- monitor operational performance;
- facilitate distribution and field operations;
- communicate with Customers;

6. Legal Basis for Processing
Tills at Vienna may process information where:
- processing is necessary to provide Platform services;
- processing is necessary for legitimate business interests;
- the individual has provided consent where required;
- processing is necessary for compliance with legal obligations;
- processing is necessary to protect legitimate operational or security interests; or
- processing is otherwise permitted under applicable law.
Customers remain responsible for ensuring that they possess all necessary rights, notices, authorizations, and consents required to upload or process information through the Platform.
7. Cookies and Tracking Technologies
Tills at Vienna may use cookies, pixels, analytics tools, SDKs, and related technologies to:
- maintain user sessions;
- authenticate users;
- analyze Platform usage;
- improve functionality;
- remember preferences;
- monitor performance;
- enhance security; and
- generate operational analytics.
Users may disable certain cookies through browser or device settings, although some Platform functionality may become limited as a result.
8. Geolocation and Field Tracking
Where Customers enable tracking functionality, Tills at Vienna may process geolocation and operational tracking information relating to Field Personnel or operational activities. Customers are solely responsible for:
- obtaining legally required employee or personnel consents;
- complying with employment and workplace laws;
- informing personnel regarding monitoring practices; and
- ensuring lawful use of tracking features.
Tills at Vienna does not independently verify whether Customers possess necessary workforce-related authorizations or consents.
9. Sharing and Disclosure of Information
Tills at Vienna may share information:
- with service providers and infrastructure providers;
- with payment processors and financial service providers;
- with telecommunications providers;
- with cloud hosting providers;
- with analytics providers;
- with professional advisers;
- with Affiliates;
- where required by law;
- where necessary to enforce legal rights;
- where necessary to protect Platform security;
- in connection with mergers, acquisitions, restructuring, or financing transactions; or
- with Customer authorization or instruction.
Tills at Vienna does not sell Personal Data to third parties for unrelated commercial advertising purposes.
10. Third-Party Services
The Platform may integrate with Third-Party Services including:
- payment gateways;
- mobile money providers;
- cloud infrastructure providers;
- analytics services;
- telecommunications providers;
- API integrations; and
- external software platforms.
Tills at Vienna does not control third-party privacy practices and is not responsible for privacy or security practices of external services not owned or operated by Tills at Vienna.
Customers are encouraged to review applicable third-party privacy policies independently.
11. Cross-Border Transfers
Information processed through the Platform may be transferred to, stored in, or processed in jurisdictions outside Ghana through cloud infrastructure, third-party service providers, or operational systems.
By using the Platform, Customers acknowledge and consent to such cross-border processing arrangements, subject to commercially reasonable safeguards implemented by Tills at Vienna.
12. Data Retention
Tills at Vienna may retain information:
- during active subscription periods;
- for operational continuity;
- for backup and disaster recovery purposes;
- to comply with legal obligations;
- to resolve disputes;
- for fraud prevention;
- for audit purposes; or
- to enforce agreements and policies.
Retention periods may vary depending on:
- operational necessity;
- legal requirements;
- contractual obligations;
- regulatory requirements; and
- legitimate business needs.
Where commercially reasonable, Tills at Vienna may delete or anonymize information no longer required.
13. Security Measures
Tills at Vienna implements commercially reasonable administrative, technical, and organizational safeguards designed to protect information processed through the Platform.
Such safeguards may include:
- authentication controls;
- role-based access restrictions;
- encryption in transit;
- secure credential storage;
- activity monitoring;
- logging systems;
- backup procedures;
- vulnerability management;
- access controls; and
- incident response procedures.
However, no software platform, cloud infrastructure, telecommunications system, or internet-based service can be guaranteed to be completely secure or immune from cybersecurity threats, unauthorized access, malware, or other security incidents.
14. User Rights
Subject to applicable law, individuals may have rights relating to their Personal Data, including rights to:
- request access to certain information;
- request correction of inaccurate information;
- request deletion where legally permissible;
- object to certain processing activities;
